Privacy Policy

OtterBill ("we," "us," or "our") provides billing software for dance studios. This Privacy Policy describes how we collect, use, store, and share information when you use our website and application at otterbill.io (the "Service").

Google user data

If you choose "Sign in with Google" or "Sign up with Google," we access limited Google account information through Google OAuth, as permitted by your consent. We use Firebase Authentication (Google Cloud / Google Identity) to implement sign-in. We do not access Gmail, Google Drive, Google Calendar, Contacts, or other Google Workspace data, and we do not request restricted Google API scopes beyond basic profile and email used for authentication.

Data accessed

When you authenticate with Google, we may receive:

• Your email address
• Your display name (full name)
• Your profile picture URL
• A unique Google account identifier, linked to your Firebase user ID

We do not read your Google password. Google handles authentication; we receive only the profile fields above that Google shares with our app for sign-in purposes.

Data usage

We use Google user data solely to:

• Create and authenticate your OtterBill studio account
• Maintain your signed-in session
• Display your name and profile photo in the app (for example, in Settings and the navigation menu)
• Associate your account with your studio's billing data in our database

We do not use Google user data for advertising, sell it, or use it to train artificial intelligence or machine learning models. We do not use Google user data for purposes unrelated to providing and securing the Service.

Data sharing

We do not sell Google user data. We share it only as needed to operate the Service, with the following categories of recipients:

• Google / Firebase (Google Cloud) — to process sign-in and host authentication and application data. Purpose: identity verification and secure infrastructure.
• Stripe — when you connect a Stripe account for payments, Stripe receives business and payout information you provide through Stripe's own flows. We do not send your Google profile to Stripe for marketing; Stripe may receive your account email if you use email/password sign-up or if required for Connect onboarding you initiate.

We may also disclose information if required by law or to protect the rights, safety, and security of our users and the Service.

Data storage and protection

Google sign-in data is stored in Firebase Authentication and, where applicable, in Google Cloud Firestore (project: otterbill-86b63). Data is transmitted over HTTPS (TLS). Access to production systems is limited to authorized personnel. Firebase and Google Cloud provide industry-standard security controls for hosted authentication and database services.

Data retention and deletion

We retain Google-linked account information while your OtterBill account is active. You may delete your account at any time from Settings → Delete account in the app, which removes your Firebase Authentication user (including Google sign-in linkage). To request deletion of remaining studio data (students, invoices, recurring billing records) or if you need help completing deletion, email tyler@otterbill.io from the email address associated with your account. We will process verified requests within a reasonable period, typically within 30 days.

You may revoke OtterBill's access to your Google account at any time via your Google Account permissions page. Revoking access may prevent you from signing in with Google until you authorize the app again.

Other information we collect

Beyond Google sign-in, the Service collects information you provide directly, including studio billing records (student and parent names, parent contact details, invoices, and recurring tuition), and payment metadata processed through Stripe Connect. Parents who pay invoices interact with Stripe-hosted checkout; we do not require parents to sign in with Google.

Email and password accounts

If you register with email and password instead of Google, we collect your email address and store a hashed credential via Firebase Authentication. The Google-specific sections above apply only when you use Google sign-in.

Children

OtterBill is intended for studio operators (adults). Student names and parent contact information are entered by studio staff for billing purposes. We do not knowingly offer the Service directly to children under 13.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date.
